Mastering Claude Routines From alarm clock to doorbell

The old way: Scheduled TasksThe new way: Claude Routines
Fires at a fixed, pre-set timeFires when a specific event happens
Only knows what time it isUnderstands what is actually occurring
No context about your businessRuns in the cloud, 24/7

The anatomy 3 components. One routine.

  1. 01 Instructions
The job description. Written in plain English, not code. Tells Claude exactly what to do and how to do it.
  2. 02 Workspace
A cloud folder of reference materials. Update a doc once — every routine that references it improves automatically.
  3. 03 App Access
The tools Claude is allowed to touch. More access = more capability. Less = more control. Find the balance.

The prompt template Build any routine in 10 minutes

  1. 01 Role — "You are my [lead follow-up specialist]"
  2. 02 Outcome — "Your job is to [draft a personalized follow-up email within 2 minutes]"
  3. 03 Steps — Read the submission → Identify the likely need → Draft a short, specific response
  4. 04 Output — "Post the draft to #sales Slack. Keep it under 100 words."
  5. 05 Rules — "Never send directly. Never use generic templates. Always wait for approval."
